“I just had my first session using Note Assist and it was awesome! This is going to be such a time saver and it really allowed me to be much more focused and engaged with my client.”

At Alma, we know that documentation can often feel like one of the most time-consuming parts of private practice. That’s why we’re thrilled to introduce Note Assist, a new HIPAA-compliant AI progress notes generator designed to reduce the burden of progress notes — available in the same platform as comprehensive insurance, admin, EHR, and community support.
Built in partnership with Alma members, Note Assist helps you create high-quality, insurance-compliant notes in just minutes—so you can spend less time on paperwork and more time focusing on delivering care.
Note Assist uses voice-to-text transcription to transform your session discussions into structured progress notes. It securely records sessions and then automatically suggests notes based on identified patterns, people and places. Then, the transcript is used as the basis for Note Assist to generate a structured progress note. The recording and transcript are deleted once you finalize your note to ensure the privacy of your client.
During our pilot, members who used Note Assist were able to cut their time spent on documentation in half, freeing them up to focus on delivering care and giving them time back in their busy lives.
Documentation can pile up, especially when you're balancing the need to meet insurance requirements. With Note Assist, compliant notes are ready within minutes after a session, giving you back valuable time in your day and helping you avoid audits and denials so you can get paid for your work. Providers in our pilot found the accuracy and length of the notes to be spot on, but you can always edit and add to them as you see fit. This tool is meant to empower you, not replace your expertise.
“I feel like it frees up my brain to be more present vs. trying to take notes during a session in order to meet all of the insurance requirements. I was honestly considering disenrolling from all insurances because it has been so stressful and time consuming to complete the documentation and for way less pay than I get with private pay. This changes everything for me and my practice and allows me to continue working with awesome clients who would not be otherwise financially able to work with me.”

Note Assist lets you focus fully on your clients without the distraction of note-taking. When reviewing notes after a session, providers who tried this tool were even able to gain a deeper perspective into client progress through details they otherwise would have missed.
“It allows me to be fully present with my client without worrying that I will miss something for the note. It's like having an assistant to catch the details in that important meeting! I really can't think of a single thing I would change.”

We know that privacy is a top concern when using new technology, especially in a clinical setting. That’s why Note Assist was built with strict privacy measures in place based on feedback from the provider community.
Alma’s goal is to support you with access to technology that empowers you to deliver even higher quality, affordable mental healthcare to clients while efficiently managing the most time-consuming parts of running a practice.
That’s why we’ve added Note Assist — save hours on progress notes and relieve the burden of documentation, allowing you to focus on clients and get time back in your busy life.
How do I use the Note Assist AI progress notes generator tool?
Note Assist is easy to use directly in the Alma platform. In Alma, you can send clients a consent form and then use the calendar to schedule a session with Note Assist. When you join the session, Note Assist will securely record and automatically generate a progress note based on your conversation, which you can edit as you see fit. Then, the recording and transcript used to generate the progress note are deleted immediately after you finalize your note.
Is the Note Assist AI generated progress notes tool secure?
Yes, Alma partnered with providers to design strict security measures that meet high standards for patient privacy. The recording and transcript used to generate the progress note are deleted immediately after you finalize your note, all progress notes are encrypted and stored in a secure database, and data is never used to “train” AI models.
Why should I use AI progress notes in Alma?
Note Assist is different from other AI progress note generators because it’s simple to use in the same platform as tools for managing your insurance, EHR, and admin needs, as well as support to grow your practice and access to a community of other clinicians. This eliminates the need for you to use a separate platform to get the benefits of an AI progress note generator.
How should I explain AI progress notes to clients?
If you think it’d be helpful, we recommend talking to your clients about Note Assist before sending them a consent form in the Alma portal. This way, you can ease any concerns ahead of time. Alma also offers FAQs that you can share with clients who are looking for more information about how Note Assist works. Here is a sample email to send to clients explaining Note Assist:
Hi (Client Name), I use Alma to help with insurance and administrative tasks like taking notes. They offer a tool that would create a note for our session using secure voice-to-text transcription.. Are you comfortable using it for our next session? It would not change our appointment, we would just use a different video link and then the tool would create a progress note afterwards instead of me typing one. The tool is HIPAA-compliant and no one will have access to anything we discuss. If you’re open to it, I can send you the consent form to look over first.
We believe that when clinicians have the support they need, mental health care gets better for everyone.
